How To

The Safe Custody is used to record documents that are held by your firm for your clients. It also allows you to track the status of the documents, e.g., wills, certificates of titles, powers of attorney and leases.

Desktop

Access Your Safe Custody

From Menu

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.

From a Matter

Open the matter.
Click the Safe Custody tab.

From a Card

From LEAP Matter List, click the LEAP Menu > Home > under Cards > View Cards.

The Card List will open in a new window.
Open the card.
Click at top-right corner of the card window and select Safe Custody.

The Safe Custody will open in a new window and automatically search for a list of documents based on the selected card.

Search Your Safe Custody

To search for and find a document held by the firm in the Safe Custody, follow these steps:

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Click to find and select a Client.
(Optional) Click to find and select a Matter.
Click the drop-down to select a Status of the document item:
- <All>
- Currently Held/Temporarily Removed (default)
- Currently Held
- Temporarily Removed
- Permanently Removed
- Deleted
(Optional) Enter a Packet No./Location/Document No.
Click Search.

The list of document items will be generated based on your selected or entered criteria.

Add a Document Item to a Packet

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Click Add.

The Add Document to Safe Custody will open in a new window.

Packet Section

Click on the right-hand side of the window to select an existing Document Packet No. or leave as Auto if you would like to create a new Document Packet.

If you selected an existing Document Packet but would like to change and create a new Document Packet instead, click the drop-down arrow next to and select New Packet.

Click to select a Matter if you are not using an existing Document Packet.

Click to open the selected Matter.
Click to select a Client if you are not using an existing Document Packet.
(Optional) Enter a Location.

Document Section

(Optional) Click to select and assign a Matter to the document item.

Click to open the selected Matter.
Enter or click to select a Document Type.

See Application Settings - Safe Custody Document Types for add, edit and/or delete a Document Type.
Enter a Description.
(Optional) Import an Electronic Copy file from your computer or a matter's Correspondence List.

You can click and drag the files onto the field or click to import the file from your computer.

You can click to open the imported file.
Click the drop-down to select a Status of the document item.
(Optional, Temporarily/Permanently Removed Status required) Click next to Removed By to select the staff member that removed the document item.
(Optional, Temporarily/Permanently Removed Status required) Enter a Removed Reason.
(Optional) Enter the Comments.
The Document No. will fill in an automatic sequential number.

Untick Auto if you would like to enter a document number manually.
Enter or click to select a Date Stored.
Enter or click to select a Document Date.
(Temporarily/Permanently Removed Status required) Enter or click to select a Date Removed.
Click Save & Close.

If you would like to add another document, click Save & New.

You can also perform the same action via the Matter > Safe Custody > click Add Document.

Copy Document to Safe Custody

You can now copy a document from a matter to Safe Custody.

From the LEAP matter, right-click on a document.
Click Copy to Safe Custody.

The Add Document to Safe Custody will open in a new window.

Click to edit heading

The Matter and Client will automatically populate the Packet Section to create a new packet.

If you would like to add the document to an existing packet, click next to Packet No. and select an existing one.

Under the Document Section, enter the details of the document.
Click Save & Close.

You can also drag a document from any matter's Correspondence List to the Electronic Copy field with the Add Document to Safe Custody window to copy the document.

Change the Status of an Existing Document Item

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Search for the document item.

To change the status of multiple document items, hold Ctrl and select them.
Right-click the document item(s) and select the Set Status to.
- Set Status to Currently Held
- Set Status to Temporarily Removed
- Set Status to Permanently Removed

The document item status will be updated accordingly.

If you select either Temporarily Removed or Permanently Removed status, the Date Removed will be set to today's date and your name for Removed By.

You can also perform the same action via the Matter > Safe Custody > right-click the document item and select Set Status to.

Change the Document Type of an Existing Document Item

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Search for the document item.

To change the type of multiple document items, hold Ctrl and select them.
Right-click the document item(s) and select the Set Document Type to.

The Document Type List will open in a new window.
Choose the new Document Type and click Select.

The document item's Document Type will be updated accordingly.

You can also perform the same action via the Matter > Safe Custody > right-click the document item and select Set Document Type to.

Delete a Document Item

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Search for the document item.
Right-click the document item and select Delete.
Confirm the deletion.

You can also perform the same action via the Matter > Safe Custody > right-click the document item and select Delete.

Restore a Deleted Document Item

Click to edit heading

If the document packet has been deleted, you will need to restore it before you can restore the associated document items. See About Document Packets for steps on how to restore a packet.

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Select Deleted from the Status drop-down list.
Click Search.
Open the deleted document item.
Click at the top-right corner of the window and select Undelete.
Click Save & Close.

Print the Safe Custody and Items

Print the Safe Custody

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Search the safe custody based on your criteria.
Click at the top-left corner of the window.

The Printed Safe Custody list will open in a new window.

Print a Document Item

From LEAP Matter List, click the LEAP Menu > Home > under Documents > Safe Custody.

The Safe Custody will open in a new window.
Open the document item.
Click at the top-left corner of the window.

The Safe Custody Template List will open in a new window.
Choose the template you would like and click Select.

The Printed Document Item will open in a new window.

Click to edit heading

You can print the document item and save a copy in the matter's Correspondence List.

Click the drop-down arrow next to and select Print and Save Safe Custody Item.
