How To

Location: LEAP Menu > Reports > Management > Daily Time & Fees by Staff Responsible & Acting

Purpose: Provides a review of professional fees (Time and Fees) recorded and attributed to the selected staff in their capacity as the Person Responsible or Person Acting, featuring:

Weekly Insights:

Offers a daily breakdown of the amounts of billable and non-billable professional fees under each selected staff member during a specified week.
Delivers direct insights into individual staff members’ contributions to revenue generation in their capacity as the Person Responsible or Person Acting.

Cumulative Data Analysis:

Presents Month-To-Date (MTD) and Financial Year-To-Date (FYTD) totals, including both billable and non-billable professional fee value recorded up to the end of the chosen week.
Allows a comprehensive or targeted perspective on staff revenue generation over extended periods.

To ensure the report features a calendar week (from Monday to Sunday), please select a Monday as the Start Date.

NOTE: The report runs for the week starting on the selected date, regardless of whether the Start Date falls on a Monday. For example, if the Start Date falls on a Tuesday, the report will cover the week from that Tuesday to the following Monday.

Trigger Criteria:

Date Alignment: The report includes entries based on their transaction date. An entry is accounted for only if its transaction falls within the relevant reporting periods: weekly, MTD, or FYTD.
Staff Attribution: A Time/Fee entry is attributed to a staff member when the staff member is designated as the Person Responsible or Person Acting on the matter where the entry is recorded.

Report Filters:

Start Date (Week Starting Monday)

The report uses the ‘Start Date’ to determine the scope of data captured:

Weekly Data: The report captures professional fees recorded exclusively within the week that commences on the chosen ‘Start Date’.
MTD Data: The report captures professional fees recorded from the beginning of the month—in which the ‘Start Date’ occurs—up to the end of the selected week (the relevant MTD).
FYTD Data: The report captures professional fees recorded from the start of the financial year—where the ‘Start Date’ falls—up to the end of the selected week (the relevant FYTD).

For instance, setting the ‘Start Date’ to 05/02/2024 (Monday) means the week concludes on 11/02/2024. Consequently, the MTD data will reflect professional fees recorded from 01/02/2024 to 11/02/2024.

Note: The firm's Financial Year Start Date is set under the Settings > Application Settings > Accounting > General.

Staff

Consists of three filters:

1. Include Inactive Staff: Specifies whether inactive staff members are included in the 'Staff' dropdown.

No (default): Excludes inactive staff.
Yes: Includes inactive staff.

Note: A staff member is considered inactive if the Current Staff Member option is turned off under Access & Permissions in the Staff Details window (Menu > Settings > Application Settings > Firm > Staff > Members).

2. Staff Type: Determines the staff type to report on:

- Staff Responsible
- Staff Acting

3. Staff: Displays a dropdown list of staff members to select from.

Note:

Staff members that receive no attribution for the relevant periods are not included.
The list dynamically updates based on the selected Include Inactive Staff setting.

Inc Tax

Displays figures inclusive or exclusive of tax amount.

Report Sections:

Billable (Amount)

Displays the amount of attributed billable professional fees recorded during the specified week:

- Staff Name: List each selected staff member who contributed to billable professional fees recorded during the selected week, as the Person Responsible or Person Acting.
- Monday, Tuesday, Wednesday, Thursday, Friday, and Sat/Sun: Provides a daily breakdown of the amount of billable professional fees for the staff member.
- Total: The total amount of billable professional fees for the staff member over the course of the selected week.

Non-Billable (Amount)

Displays the amount of attributed non-billable professional fees recorded during the specified week, for each selected staff:

- Staff Name: List each selected staff member who contributes to non-billable professional fees recorded during the selected week, as the Person Responsible or Person Acting.
- Monday, Tuesday, Wednesday, Thursday, Friday, and Sat/Sun: Provides a daily breakdown of the amount of non-billable professional fees for the staff member.
- Total: The total amount of non-billable professional fees for the staff member over the course of the selected week.

Time & Fees Summary

Displays the total amount of attributed professional fees recorded within the relevant MTD and FYTD, for each selected staff in their capacity as the Person Responsible or Person Acting. Both are divided into billable and non-billable amounts:

	MTD	FYTD
Billable	Displays the total amount of billable Time and Fees attributed to the staff member for the relevant MTD.	Displays the total amount of billable Time and Fees attributed to the staff member for the relevant FYTD.
Non-Billable	Displays the total amount of non-billable Time and Fees attributed to the staff member for the relevant MTD.	Displays the total amount of non-billable Time and Fees attributed to the staff member for the relevant FYTD.

NOTE: Please refer to the 'Report Filter' section for what period constitutes the relevant MTD or FYTD.

Report Comparison

For a review of professional fees recorded by selected staff in their capacity as fee earners, please refer to the Daily Time & Fees by Staff Report. Both reports utilize similar reporting filters and fields, yet they evaluate distinct kinds of revenue contributions (direct or indirect).

Another similar report is the Time and Fees Recorded by Staff Report, which offers all-staff productivity insights by reviewing both billable and non-billable hours within the chosen week, as well as MTD and FYTD totals.
