How To

Co-Authoring allows for real-time collaborative editing of documents between multiple staff members in LEAP. When enabled, the document enters a OneDrive/Sharepoint-based co-authoring session where staff members can draft and edit documents simultaneously. All staff members can collaborate on one shared document stored securely in Microsoft OneDrive/Sharepoint.

Please ensure that you have linked your Microsoft 365 email account and LEAP in order to use the following features. For instructions on linking your email account, please click here.

Requirements

Your firm must have a MS365 tenancy linked and must have updated consent to grant permissions to the LEAP Application.
The logged-in LEAP user must have a MS365 licensed account linked to their LEAP identity.
Co-Authoring is currently supported for Word documents (.docx) only.

Enable Co-Authoring

To enable Co-Authoring for a document:

Open the matter.
Locate the document in the Correspondence List that you would like to enable Co-Authoring for.
Click on the Enable Co-authoring icon next to the document or click the ellipsis icon and select Enable Co-authoring.
A notification will appear in the bottom right that the document is being prepared for co-authoring.
Once Co-Authoring has been enabled, click Open on the notification.

The document will open in a co-authoring session in Microsoft Word, where you can make edits as needed.

In the Correspondence List, a Co-Authoring label will be added to documents to indicate that co-authoring is enabled.

When Co-Authoring is enabled for a document, any staff member in your firm can join the co-authoring session simply by opening the document.

If you wish to invite another staff member to join the Co-Authoring session, click the ellipsis icon next to the document and select Invite Co-Authors. For further details, please see the section Invite Co-Authors below.

Invite Co-Authors

To invite other staff members within your firm as Co-Authors for a document:

Open the matter.
Locate the document in the Correspondence List that you want to invite a co-author to.
Click the ellipsis icon or right-click the document and select Invite Co-authors.

The Invite Co-authors window will open.
Select the recipient in the To field.

All Firm members who have LEAP linked to their Microsoft account will appear in this list.
(Optional) Enter a Message for your Co-Authoring invite.
Click Send Invite.

An invite for Co-Authoring on the document will be sent to the other staff member via email and in the Notifications window.

Co-Authoring a Document

When Co-Authoring has been enabled for a document, it will be temporarily locked in LEAP to prevent conflicting changes. Microsoft Word will provide live editing, cursor presence, and autosave functionality during the co-authoring session.

Open the Add-ins tab in Microsoft Word and select LEAP Add-in for Word to display the pane on the right with the Co-Authoring tab. The Matter Details will be shown, including the Matter Number, Matter Type, Client, Other Side and Matter Status.

To return to the matter, click Open Matter in LEAP.

All co-authors work on the same document, not separate copies and can see each other’s edits and changes in real time. When co-authoring is enabled, the AutoSave feature in Microsoft Word will be automatically turned on, ensuring all changes to the document are saved. You'll be able to see which staff members are currently collaborating on the document in the top right and within the document itself.

To save the document back into LEAP, you will need to end the co-authoring session. Please see the section below on how to End Co-Authoring.

End Co-Authoring

Once drafting is complete and no further collaborative editing is required, you will need to end the co-authoring session to save the document into LEAP.

You can end the co-authoring session in one of two ways:

Click End Coauthoring within the LEAP Add-in for Word pane while the document is open.
Click the End Co-authoring icon from the quick actions when you hover over a document or right-click the document within the LEAP Correspondence List and select End Co-authoring.

If you end a Co-Authoring session while another staff member is still actively editing on the document, you will receive an alert confirming if you would like to end Co-Authoring session.

Other staff members will then need to ensure that they copy their edits to a separate document and re-enable Co-Authoring to continue with their changes.

Co-authoring sessions will automatically end if no changes are made to the document for seven days.
